Asst. Manager (Admin)

Roles and Responsibilities

Guest House Management -

Identify, finalize, and manage guest houses as per company requirements.

Execute and maintain rent agreements for guest houses.

Monitor occupancy and ensure proper room allocation for staff and visitors.

Oversee cleanliness, hygiene, and maintenance of guest house premises.

Ensure continuous supply of safe drinking and usable water.

Canteen / Mess / Food Management-

Ensure timely preparation and delivery of meals for site staff and visitors as per work schedules.

Conduct regular checks on food quality, taste, and hygiene standards.

Maintain uninterrupted supply of safe drinking water at guest houses and project sites.

Vehicle Management-

Assist in vehicle purchase and hiring as per project and HO requirements.

Execute rental agreements and maintain documentation for vehicles.

Monitor vehicle movement logs, trip records, and fuel consumption for four-wheelers.

Oversee timely vehicle servicing and maintenance schedules.

Ensure two-wheeler fuel/charging expenses are handled by individual users.

Rental Equipment Monitoring-

Monitor utilization and idle status of rental equipment such as JCBs, Hydra, Pokelane, and tractors.

Coordinate with Project Managers (PM) and Construction Managers (CM) for optimal usage.

Submit weekly utilization reports to HO HR & Admin for review.

Petty Cash Management-

Manage petty cash for daily administrative needs at HO and project sites.

Maintain proper documentation and receipts for all petty cash expenses.

Ensure transparency and accountability in fund handling.

Hiring / Arranging Local Manpower-

Recruit or arrange local manpower such as cooks, drivers, housekeeping staff, and laborers.

Obtain necessary approvals from HO HR & Admin prior to hiring.

Maintain records of all temporary manpower, including contracts and attendance.

Admin Purchase Orders (PO) and Payment Requests (PR)-

Prepare and process admin-related PO and PR in the system.

Coordinate with HO HR & Admin for approval and with Finance for payment release.

Track and ensure timely clearance of all admin-related payments.

Attendance Monitoring-

Maintain and update attendance records for:

On-roll employees

Off-roll/contract workers and laborers

Security personnel

Share attendance reports to HR & Admin on a regular basis.

Security Management-

Deploy security personnel as per project site requirements.

Execute agreements with security service providers and ensure police verification of all guards.

Oversee day-to-day security operations and ensure site safety.

Ensure timely payments and statutory compliance for security services.

Labour Compliance Management-

Ensure adherence to statutory labor laws at HO and project sites.

Maintain updated legal registers and documentation.

Coordinate with HO HR & Admin for audits and compliance reporting.

Admin Documentation-

Maintain and organize documentation related to all administrative activities, including:

Guest house agreements and records

Vehicle rental agreements and logs

Security agreements, deployment records, and police verification reports

Labour compliance records and statutory registers

Local manpower hiring approvals and records

Payment receipts, PO, and PR documentation

Maintain both digital and physical files for easy retrieval and audit readiness.

Prepare necessary documentation for internal audits, external inspections, and legal purposes.

Admin MIS Reporting-

Prepare, maintain, and share regular MIS reports covering all administrative functions.

Ensure accuracy, timeliness, and completeness of reports submitted to HO HR & Admin.

Provide analysis and recommendations for improving administrative efficiency.
